Mews Connector Merge Profiles

Hi everyone,We are recently experiencing some issues with merging profiles due to multiple loyalty programs.Support advised me to use Mews Connector to delete one of the loyalty programs. Inquired vs. Optional

Hello Community! I am having a hard time understanding the difference between optional and inquired reservations. If a potential guest decides to book an inquiry, how do I know that it has been booked? Should I send optional quotes instead? Should I follow up with guests I have sent an inquiry quote too? If guest confirm optional quotes, how do they show up in the reporting? Please Help! Thank you.

How do I remove a cancelled room from a group reservation?

Is there a way to remove a cancelled room from a group reservation?  It is getting a bit confusing with it hanging out at the bottom of the right-hand pane.  There is nothing I can see to be done with it there, and our front desk people are being overwhelmed. I’d love to even move it to another group.  Is there a way to move a single room off of a group to another?As I type this, I’m sure there must be?

Travel agent Commission Calculation

Hello! Travel agents receive commissions based off our dynamic rates and group rates added into the block. We have built a TA contract for an agent and added the company to the group block, however, the commission does not report on the rooming list. When will TA commission show on reports? After check in, after creating the reservation, or after check out?

Open items list for annual closure

I have questions regarding open items: for annual financial statements we need an open items list. It has to show all outstanding customer payments not yet having been paid, even if closed after this date.If the path ‘open bill’ - ‘payment’ - ‘external payment’ is chosen, there`s no way either to give in past payment dates. It follows that the accounting ledger report shows items as unpaid as long as ‘external payment’ is done, no matter what the real payment date was.

Change status automatically to started for online checked-in reservations

Dear community,I am reaching out for assistance with automating the status change of online check-in reservations to "Started" on the day of arrival once the room has been inspected.Currently, we use a diffenrent  online check-in system, and we have achieved a high percentage (60-70%) of guests who are able to check-in online and have their reservation status set to "Started," allowing them to access their digital room keys and enter their rooms seamlessly. This has greatly benefited our operations.However, we are interested in integrating the Mews online check-in system for branding and integration purposes. I am seeking input and suggestions if there is a possibility to set this up. I was thinking it might be possible with Zapier to automatically change the reservation status to "Started" once the room has been inspected, based on the link sent out on the day of arrival.Any insights or guidance on this matter would be greatly appreciated.Thank you in advance for your help!Best regard

My Mews invoices

HI All, our invoices for platform fee and marketplace integrations are now mailed to our finance department.However, is there any way to see old invoices in mews itself?I did find a report in the finance section, however that is only the total amount and not the fees broken down.thanks very much for your help

Hi allRight now, we are preparing to switch the housekeeping to the MEWS Commander. Until everybody is settled in well, we still have to work with printed lists, just to make sure 😉Since the “reservation report” is the one, we’re using right now (also for reception and restaurant because we need more information than on the “guest inhouse” list), we are unhappy, that the “inouse use” rooms are not on this list. They have to be put on manually and therefore they can be forgotten.What kind of list - if any - do you use for housekeeping?Would like to hear, how you work with it. Mews IBE on own Domain without widget

Hi everybody,For our three properties in three different cities, we are currently using the Mews IBE as an overlay widget on our website in an multiple enterprise version. Bookers stay on our Domain. This enterprise version does have limited functions, though, that are available in the standalone version (e.g. suggestion of alternative travel dates, if low availability and more).Since there is no release date available, when those new functions are also available on the widget enterprise version, I want to switch to the standalone version (htts://app.mews.com/distributor...).I would like to avoid that a new window opens with the mews Domain and would rather like to have this on the same page with our URL or if not possible in another way with a subdomain like booking.bigmamahotels.com. Background is that a domain switch can lead to a trust issue as from the guests perspective mews has nothing to do with the hotel they want to book. That would result in a conversion decline.  Any ideas

Deposit on cans, PET bottles etc.

hi all,I've got a question and was hoping for some insights on how others deal with this; In some of our hotels we sell cans of beer, and PET bottles with soda at the front desk. These are sold and paid for using MEWS and thus the receptionists needs to charge both the can, as the ‘deposit charge’ (statiegeld) for each item separately. How do other hotels deal with this situation? We have suggested to just raise pricing and make a correction posting in our accounting software, but we have already been informed that law requires to actually show on invoice that there is a separate deposit charge.  Furthermore, I've been told that in a few months the EU legislation comes into effect that we also need to show on invoice to guest what part of the sale is perhaps some sort of ‘packaging’. Especially when it is single use plastics…  Several POS systems have simple functionality for packaging products, so with these systems I can think of several ways to implement this easily, but within MEWS

Group Routing

Dear Mews Community,I hope you can help. Since the beginning of this year one of our hotels changed to MEWS and we are still trying to create our SOP’s. The hotel has many groups in house where room and breakfast is paid by the organiser. At this moment we realised that there is no routing setup that can be done to automatically forward all nights to a group bill / PM / or…I’m aware that for a company we can create a routing, but this will not help as sometimes the company pays, sometimes they don't.I’m wondering if somebody of you have any feedback or best practices that we implement?Thank you in advance.Best regard,Milou

End of day time

Hi Community, we do face some challenges with the end of the day time at midnight, and I’d like to check in with you if you have some best practices which might work out. In theory, we have no issues with the fact of closing the day at midnight, however, at a certain point we face operational issues to reconcile revenues with the POS system and BOF (Back office finance exports) If we would only consider MEWS its less of a problem, but with Export files for Finance and POS integrations, this makes all more complicated.Cash drops are one example. The BOF exports capture all cash drops till midnight, if the outlets are closing late in the night, the cash drop which is reported in the export file does not reconcile with the physical cash drop, as this will be posted on the next day. The next day it balances out, but we do state a daily over/shortage on cash reporting, which Auditors do not accept. At the month's end, we also missed revenue posted after midnight which belongs to the month b

Hello,I have a question about the groups in Mews.Where in Mews can I get this information please :number of rooms blocked VS number of rooms finaly bookedEx : a group booking of 20rooms, at the end they send 18rooms on the rooming list → 2rooms are left and need to be released. Reduce automatic emails

Hi, I was wondering if it was possible to reduce the number of automatic mails sent from mews. For example, guests sometimes receive the online check-in mail etc twice and it is sometimes a bit much in our opinion.

Hi Guys,Need your help!We have been talking with MEWS team for long time about this subject. As per MEWS Representative, MEWS can create packages by adding the product(s) to the room rate. We cannot create such as internal allocation where the guest no need to know how much individual cost. For example, we want to create Summer package for USD 450 as selling price  both for direct booking and display on the website as well,(see below breakdown for inclusions and internal allocation).Would appreciated if you can help this matter.Thank you very much in advance. email addresses disappearing

Hello all,Over the past few weeks, we've been experiencing consistent issues with the email addresses disappearing at the point of customer checkout, when we make the invoice. We've had to manually re-enter the email addresses every time in order to send the customer their invoice via email. Additionally, there have been instances where the email address has disappeared from the customer's sheet as well, but not always.We're unsure as to whether this is a bug in the program or if customers are deleting their own email addresses from their customer sheet. Could you please investigate this matter?I've attached an example of a customer record where the email address was disappeard,as well as an example of an invoice where the email address has disappeared.Thank you for your prompt attention to this matter.Best ragards Robin

What is the most convenient way to keep track of payments of returning corporate guests?

For companies nearby we have contracts for which their guests can stay in our hotel with a discount and payment after departure per invoice.We have noticed that for returning guests, their open bill doesn’t appear in the Accounting Ledger as they have future stays attached to their profile. Our Front Office team doesn’t make the official invoice at check-out. Therefore bills tend to get very high within a short period of time.Would the only way to make the outstanding payments visible in the Accounting Ledger be for the Front Office to make the invoice after departure?Would Payment Routings help in this case?Thank you very much in advance!

Heyo,Does anyone have a way to use an event calendar inside of Mews rather than external apps/programs?At the Arcade Hotel, we host quite a few events, and have been using tasks to inform our staff. Setting default filters for my reports

Hello!I have been using MEWS for a month now, and so far so good but I would like to ask if there was a way to setup the default filters in some reports. Or maybe to save the selected filters and create a report of your liking. I know it’s possible to schedule exports, but it’s an excel sheet and when I’m having a look for some things I like to see it within MEWS, but then again, I always have to select the right filters every time.Looking forward to hearing from you! Kind regards,Sergi
