New reservations notification

Can i ask what you use to check new reservations on day to day basis? 

Per now, there is no notifications on new reservations from day to day. 

 

Since Mews allocates rooms automatically - it would be nice to have a popup or donut in the dashboard for “new reservation” on day to day basis. 

 

Mews have notification for future reservation that gets booked - but this doesnt help day to day front office.

I’m Josue - one of the Community Ambassadors - and I’m happy to help clarify your question regarding the notification for newly created reservations. 

Thanks for raising this, it’s a really good point from a day‑to‑day front office perspective. It’s great to see great commentary and suggestions on this from the Community members as well. 

At the moment you can go to the Burger Menu > Settings > Services, then select your bookable service and refer to the “Options” drop-down which has: 

  • Order generates email - sends an email when a new order (reservation) is created for that service.
  • Order generates notification -creates an in‑Mews notification for new orders for that service.

With Order generates notification enabled on your Accommodation service, front office users will see a notification in Mews each time a new reservation is created, which helps them keep track of new bookings during the day.

As an additional workflow, many properties also use the Reservation report, filtered by Created date = Today (or Today & Yesterday) and Status = Confirmed/Optional, and then set up an export schedule so the report is automatically emailed to the front office team (or any other chosen recipients). This way, they can quickly open the Excel file at the start of each shift and review all newly created reservations for that day.

I completely understand how a visual dashboard donut or popup for “new reservations today” would make this even easier, especially with automatic room allocation, so I’ve passed this on as feedback to our product team as well.

Hi Haris,

would an automatic task in Mews be sufficient for you when a new reservation is created? This could likely be implemented quite easily using Zapier.

I have already successfully set up several automations between Mews and Zapier this way. Zapier also has a built-in AI assistant that guides you step by step through building the automation, which makes the setup surprisingly easy.

For example, you could automatically create a task for the front office whenever a new reservation is made, so the team can immediately see during the day that a new booking has been created.

Is Zapier free to use?

 

If its possible to set it up where it creates a task whenever a new reservation is made on the day todays date that would be cool. 

 

the problem is that; during the evenings we might get late bookings, sometimes it can be hard to tell if they are new or old - what i want is a notification on the new booking on the day that “im currently on” if you understand. 

 

today its 5th march - so i would prefer that if i recieved a new reservation today id get a notification.

Hello,
You can filter the reservation report so that you can see all newly created bookings within a desired time period. This should work for your purposes.
Of course, you have to activate this yourself; it would unfortunately not happen automatically. ;-)

Hello,
You can filter the reservation report so that you can see all newly created bookings within a desired time period. This should work for your purposes.

Hi  - yes i know this one, but it is time consuming and i would rather just have a notification whenever a new reservation on day to day basis pops in so that we can set up extra beds etc accordingly. 

We have a lot of extra beds thats why.. 

 

But a good suggestion ofc, its just routine honestly

Yes i also have the email notification, but this is for all future reservations. 

When we used Hotsoft from Hoistgroup - we had reservation pop up with no room nr - here we could easily filter new reservations as the old reservations were allocated to a room nr.

Hi Haris,

I understand. That is exactly what I still want to set up with Zapier as well, so that colleagues can at least be warned, even at short notice, when new last-minute bookings come in. Sometimes these are travelling families, extra beds need to be prepared, and so on.

So really only for very short-notice reservations = today for today.

Zapier is free in the basic version. However, I now pay for the service because it automates many things that otherwise had to be done or checked manually. For €20, I probably save around 20 hours of manual work per month. For me, it is definitely worth it.

But just try the free version first and see how it works for you.

@Haris.olebull it shows as well reservations for today… we get an email for every single reservation, does not matter which date..

You do need to familiarize yourself with the topic and experiment a bit. But yes, you can simply prompt and tell the AI ​​in Zapier what you want and how you want to get there. After a few rounds, it works quite well.

Hi Haris,

just as a quick follow-up: I have now built this workflow in Zapier and it works well for us.

The Zap creates a Front Office task in Mews whenever a reservation is a true same-day booking, meaning the reservation creation date and the arrival date are the same on calendar-day level. That gives the team direct visibility of short-notice bookings and helps with things like room preparation, extra beds, upselling opportunities, and general arrival coordination.

I also adjusted the setup so it works without an unnecessary code step, which makes it simpler and more cost-efficient to run in Zapier.
