Solving overbooking with taking availability from other roomtypes

Dear all,

We frequently deal with large group bookings that place a significant number of rooms on option, which can occasionally result in an overbooking situation. In many cases, these groups eventually release some of their rooms, meaning no additional rooms are required. However, if they do end up needing all of the rooms they have on option, we have to accommodate these guests by upgrading them to the next available room category at no additional cost.

I would like Mews to automatically block the next cheapest available room categories when we are, for example, two rooms overbooked. This functionality already works correctly through the Mews Booking Engine, but it does not seem to apply to other booking channels.

As we are part of Best Western, we also use MemberWeb.

Does anyone have experience with this setup or know how to configure Mews so that room availability is automatically adjusted in the event of an overbooking? Ideally, when we are overbooked, the next cheapest room categories would be held back from sale to ensure they remain available in case the overbooking cannot be resolved.

Currently, to the best of my knowledge there is no ‘automatic’ way of doing this without leaning on to other integrations or channel managers. The way to handle this would be through availability blocks, or alternately to adjust availability manually in the availability and occupancy report by adding an availability adjustment to the room classifications - the issue here is that in mew infrastructure there is no obvious way to say that for example a Deluxe Room is an upgrade from a classic that is an upgrade from a cosy. Mews automations however will be introducing a function to upgrade guests automatically to a certain room type which may help partly solve this, although if this setup you have is working with Mews IBE, this suggests it would need to be investigated with any Channel Manager as its working for direct but not indirect booking channels?

Thank you for getting back to me and thank you for the info. In this case I'll wait for Mews to introduce this function since it can be quiete usefull. I will also try to contact the other channel managers and booking channels to see if they have a solution. 

 

If you have any other tips for me I would be happy to hear them!
