Cancellation notification 100% occupancy

We would like to know if it is possible to automate alerts when a hotel’s occupancy drops below full capacity.

Our goal is to receive a notification (via Microsoft Teams, WhatsApp, or e-mail) whenever a hotel changes from 100% occupancy to 99% or lower.

This is especially important during holiday periods and long weekends, when we often experience last-minute cancellations. Since only three people manage Revenue Management for our group of 11 hotels, we want to be informed immediately about these changes so we can react quickly and adjust availability or pricing where needed.

Has anyone implemented a similar setup or integration? If so, what would be the best way to automate these alerts?

I know Zapier can help with this, but we don’t have a paid account and are wondering if Occupancy is a filter you can use when setting up Zaps.

I’m Josue - one of the Community Ambassadors - and I’m happy to help clarify your question regarding the cancellation notifications. 

To answer directly: there's no native Mews notification for this yet. The new Mews Automations (launched at Unfold last week) does include Check Occupancy and Get Occupancy components, but the Reservation Cancelled trigger and messaging actions (email, WhatsApp) are not available in the current release. It is definitely something worth keeping an eye on as the roadmap evolves.

For now, the two most practical options are:

  • Zapier - the Mews connector supports a Reservation Cancelled trigger, which you could route to Teams, email, or WhatsApp. Occupancy is not available as a direct filter there, but if your use case is property-specific, this can still give you the signal you need. As you mentioned, this would normally require a paid Zapier plan.

  • n8n - this is a free, open-source automation platform, similar in concept to Zapier, but more technical to set up. It is not a native Mews integration. Instead, it would need to connect to Mews through the API or webhooks, so it can achieve the outcome, but it would require a custom workflow to be built and maintained on your side.

In the meantime, it's worth upvoting the related feedback request here so Product can track demand from multi-property operators.

i am not a 100% sure but with the new automation feature which was lunched last week during MEWS Unfold it might be possible. Easiest is to contact you Costumer succes Manager to get insights.
