automated creation of tasks based on length stay

Hello everyone, I was wondering if there's a way to automatically create certain tasks based on the length of stay? For example, a welcome basket should be brought to the room for any stay longer than 3 nights, or a reminder to change the sheets on the fifth day if the stay exceeds 5 nights. Creating each task individually is tedious and prone to errors. Thank you!

I’m Josue - one of the Community Ambassadors - and I’m happy to help clarify your question regarding automated tasks. 

As suggested by ​@Johannes Rott, the closest fit for this request would be via Mews Automations.
Mews Automations can create operational tasks and use reservation criteria such as stay length to decide which bookings should be included. So for use cases like a welcome basket for longer stays, or other rule-based operational tasks, this is the direction I would look at.

For example, you could set up an automation that:

  • identifies reservations that match a length-of-stay rule
  • creates a task for the relevant department
  • runs on a schedule or from a reservation event, depending on the use case

If your property does not yet have access to Mews Automations, I would not expect a simple standard task setting in Mews Operations alone to cover this natively, so it would be worth checking with your Mews Customer Success Manager whether Automations is available for your property.

@Sonja For issues with the integration, it may require for us to investigate it further so I recommend opening a ticket with us at Support so we can take a closer look.

Could you please sign me up to the MEWS automations BETA as well? This is also a feature that would be great for our hotels.

Johannes, have you set up an automation that adds a task? 

So far I haven’t been successfull setting it up so it works. It’s always ConnectorApi - Task creation failed with status code 401 and so far I could not fix it.

nein wir haben noch nichts aufgesetzt, da wir dafür aktuell noch flexkeeping nutzen, werden dies aber zeitnah angehen als Projekt...

nein wir haben noch nichts aufgesetzt, da wir dafür aktuell noch flexkeeping nutzen, werden dies aber zeitnah angehen als Projekt...

Ich bin gespannt auf Deine Eindrücke, ich find es noch ganz schön kompliziert - mit Hilfe von KI geht es schon, aber von alleine hätte ich das mithilfe der aktuell vorhandenen Anleitung nicht hinbekommen...

Meine Kollegin ​@Vivien Polauf hat sich hier schon versucht aber das war nicht erfolgreich… ich werde das testen und mich melden, allerdings ist das noch nicht die höchste Priorität, da wir dies derzeit noch nicht benötigen.

@Johannes Rott Thank you for your comment. I do apologize I was unable to respond earlier as I was out for a few days. I agree that a short example video would make the setup much easier, especially for properties starting from scratch.

I’m not able to add or update the video myself but I’m going to share this feedback with the team responsible for the documentation so they can check and consider adding a worked example for added clarity.

In the meantime, the current article is the best starting point for the setup, and for help with a specific automation flow, your Mews contact should be able to guide you further.

@josue.orellana why isn´t it built like in flexkeeping? That is a lot easier to use and understable. you might need to consider that!
