Beta: Improved Closed Balanced Bill Logic

We have updated the logic that automatically closes bills at check out to more intelligently select the bills that should be closed and decrease the time you spend manually closing bills.

Mews enables the automatic closure of bills when a guest checks out. Properties can enable this as part of their Stay Service so that it happens automatically. Additionally users can choose to close balanced bills in the user interface

The current logic closes ALL balanced bills on the Bill Owners profile only, leading to a number of issues:

  • Bills routed to companies by Billing Automation and balanced automatically using payment automation remain open after check out and have to be manually closed.
  • Companion bills related to the reservation remain open check out and have to be manually closed.
  • All balanced bills on the Bill Owners profile are closed even if they relate to a different/future reservation.

To reduce the number of balanced bills users have to manually close and to reduce the number of corrections to closed bills we have introduced the following improvements to the logic:

Check out is allowed when:

  • all nights & reservation items for the selected reservation on the reservation owners profile are on a balanced bill (previous logic prevented check out if any reservation items were not closed)

  • Bills across all profiles are closed if they:

    • Contain nights, reservation items/products linked to the reservation checking out AND

    • all order items are consumed by the end of the current day AND

    • all reservations on the bill are checked out AND

    • are balanced

We already have a couple of customers testing this logic and are looking to further expand the customers in the Beta programme. Let me know if you are interested in joining the Beta programme and providing feedback on the change.

Hello,

I would be interested in understanding how to access to the beta version, as we are currently experiencing an issue related to this topic.

At the moment, we have a problem where bills routed to companies (e.g. Booking.com) are being automatically closed at check-out, even though no corresponding payment is registered.

This creates inconsistencies, as company bills should remain open until the correct payment or invoice settlement is completed.

Sabrine, this sounds strange and I would like to understand more about it. With the current functionality bills routed to companies are not closed and this is the issue we want to resolve. They certainly should not be closed if they are not balanced. I will DM you because I would like you to show me an example of where this has happened.

@mauritsbots no this is not an additional step in the billing automation. It is an update to the existing logic which is triggered when the system closes balanced bills. i.e. the feature is enabled as part of the stay service so it happens automatically or users choose to close balanced bills at check out in the user interface.

We plan to add a configuration in accounting configuration so you can choose to close bills only on the reservation owner profile (i.e. current functionality) or across all profiles, but for the purpose of the Beta the configuration is not yet available and we will enable it for you.

To answer your question you would be able to ‘untrigger’ the closing in the same way you that you do now, i.e. when you check out you could unselect the ‘close balanced bills’ option.

Did you still want me to proceed with the enablement?

  1. Yes of course i can give more insights here. As we usually check in our guest by Kiosk with usage >70% we have a lots of guest feedback here. When the guest is paying at Mews Kiosk by Check in they do not get a bill even if the a) Paid b) Added Company Details. This meaning that they ask our staff why they do not get a bill and how they get it. If the guest is not using Online Check Out or Kiosk Checkout the bill is not beeing send by email automatically. So this needs to be done manual for each guest. Therefore it would help us a lot if we can automatically sent balanced bills by the time of check in or check out (by the latest).

Thanks Linus, would you like me to enable on one of your properties?

Regarding point 2 we will be working on the automatic sending of emails at checkout later this quarter and it should cover your use case as long as the bill is not already closed at check out. We will be automatically sending bills that are closed at check out to the bill owner.
