Hello everyone, hope you are doing well!

Is there a handy solution for the following situations?

1. Scenario:
The occupancy of a double room changes during the stay. For example:

  • Night 1 → only 1 pax

  • From Night 2 onwards → a second person joins

The room rate stays the same, but:

  • Breakfast is linked to the number of guests.
    This means that either one breakfast is “too many” for the first night, or one breakfast is missing for the second night.

Of course, we can manually add breakfast items on the invoice in advance, but then:

  • The posting date is incorrect

  • The product is not reflected in the breakfast report

  • The pax count for the second night still shows only 1

Creating a second reservation is also an option, but then FO and HSK would both need tasks set for “stayover” handling.

👉 Question: Is / will there be a function to define the number of guests per day within one reservation? This was possible in Fidelio Suite 8.

2. Scenario:
A business traveler brings their spouse along for the full stay.

  • The room rate remains unchanged.

  • However, the second breakfast should not appear on the company invoice, but instead be paid privately.

We cannot set the reservation to 2 pax, because we would not be able to split the breakfast posting later.
The only option is to keep the reservation at 1 pax and add the second breakfast manually.

Again, this leads to:

  • Incorrect statistics

  • “Unnecessary” communication between FO and F&B, since this breakfast won’t appear in the breakfast report, but is basiclly included and already paid for

👉 Question: Does anyone know a good/better workaround? Or is MEWS planning to allow daily guest counts per reservation and/or the option to split products between different payers on the invoice?

For Scenario 1, you will need to create two reservations (by splitting) and then add the second guest to the second stay.
It’s not ideal, but unfortunately, this is the only way to handle it in Mews.

For Scenario 2, I don’t have a perfect solution, as you cannot manually move just one of the breakfasts each night to a separate bill. It’s also not advisable to leave the room with only one guest and then add the additional breakfasts through the billing screen, since it is crucial to maintain accurate in-house data - not only for statistics, but also in case of an emergency.

The two options I see are:

  1. Set the reservation for 2 guests, cancel breakfast under Items → manually add breakfast from the billing screen for each night (with correct consumption dates) → move one breakfast for each night to a separate bill.

    OR

  2. Set the reservation for 2 guests and have the bill partially covered by the spouse (though this may not be well received by the company).

We have the same problems in our hotel, and we ask Mews about that.

We can’t change the number of PAX or rate code during the stay. 
Mews staff give us the “tips“ to split the booking to make change, but it is not a suitable way to do it.

For invoice is not the best, after the customer has too many invoices for just one stay.

 

If we are many hotels to ask to change that, maybe they should do something to make Mews more reliable for all hotels.

thats a good answer, but! If you cancel the breakfast in the Items it will not appear on the Product checktlist for the Breakfast service to know if the Breakfast is included.
So this would create another Issue.

Do you have any solution for this as well?

Hello, 

That is correct. It won’t show under the product checklist, so you will have to find a workaround for that - perhaps as simple as a paper note for the breakfast staff or a task in Mews. Maybe even breakfast vouchers for these guests would work ?
However, it will show on the product report if you select the correct service, which can be helpful in your planning.
