Hi Community,

We work with a large number of groups in many different formats: call-off allotments, small 5-person groups, regular guests, apprentice days with fixed contingents and name lists, weddings, and more.

For many of these, we receive name lists directly. In some cases, clients book multiple rooms for various dates throughout the year and request a short and detailed email summarizing what they’ve booked.

Up until now, they've been receiving very long emails listing all services in detail – is there a better way to do this?

I understand that you manage a large number of groups and need a way to provide them with a concise, yet detailed, summary of their bookings.

The Reservation Report is the best tool for this. You can adjust the report to show exactly the information you need. It offers two different views:

  • Totals view: This highlights the number of confirmed nights, the average nightly rate, and the total number of reservations for your selected period.
  • Detailed view: Using this view with the right filters allows you to customize the report to show only the essentials—such as guest name, stay dates, rate name, and price—by excluding general notes, products, and balances.

Hi Nicolai,

thank you for your reply. I’ll try this approach. However, my follow-up question would be: using this method, it seems that correspondence from Mews cannot be tracked, for example, it’s not possible to see with whom and when communication has taken place, or what has been exchanged, in order to plan and manage a group.

I could upload the email history again under the contract data so that all team members can see what has already been sent, or alternatively, one would need to check in the corresponding email management system (e.g. Outlook, etc.). However, this feels like quite a big workaround. Do you know if there are any plans to address this?
