Hi everyone

I was wondering if you could help me with the following issue. Some of the hotels in our group are unstaffed during the night. For Booking.com guests, we work exclusively with VCCs. However, we’ve noticed that some guests check in outside of reception hours, consume extras on-site (such as minibar), and never show up for check-out — leaving their bill unpaid.

Through online check-in, we can encourage guests to add a credit card in advance and follow this up manually.

Ideally, it would be great if MEWS allowed us to send an “Add credit card request”, similar to a payment request but without a specific amount. This way, the reception team could send this for each reservation and follow up more easily.

What are your thoughts on this? Or any other suggestions to solve this operational challenge?

Another option would be to make the pre-authorization with a certain amount (f.e. EUR 10.-) and set the expiry to CheckOutDate +1.

Then you would be sure that in case the guest consumes something, you already have the money authorized. And the guest automatically gets back the money after departure if you don’t charge something.

You just need to be careful then to charge the supplemental costs to the pre-auth upon departure.

With Zapier or Make, you could automate the sending of the payment/authorization link to guests on the day before arrival f.e.

But I back your product idea that it should be possible to get a credit card data from the guest w/o pre-authorization.

I also wanted to advocate for pre-authorization. However at our property we don’t use zapier for this, we use the built in tool within Mews.

 

Settings>Policies> toggle to “Payment”

Create a Payment policy for your pre authorization of X amount prior to check in. 

When you have completed that, save and navigate to your Rate Groups.

Assign the policy you just created to the rate groups you wish to automate this pre authorization to.

@Ljohnosn The solution you outline will pre-authorize the card transmitted with the booking. In the case of Stijn, this would be the transmitted Booking.com VCC, which is only valid for the amount of the stay. I understood the goal of Stijn to collect another, personal card for the extras which to my knowledge requires a payment link to be sent out.
