Combining Daily Bookable Services: Is It Possible?

At my property, we have poolside cabanas we rent and they have been set up as Daily rentals. However, Friday through Sunday, there are two day part rental options, one for 11:00 AM - 4:00 PM and another for 4:30 PM - 9:00 PM (when we have poolside entertainment on the pool deck).

I set them up in early 2024 as three different bookable services, one for Monday through Thursday with one day part, 11:00 AM - 6:00 PM, one for Friday through Sunday, 11:00 AM - 4:00 PM, and one for Friday through Sunday, 4:30 PM - 9:00 PM, doing so because I believed at the time it would not be possible to make the three different options bookable through a single bookable service.

Now, more than a year later, have I overcomplicated this and is it possible for me to make this a single bookable service? Understanding I can change the rate plan by day of the week, how would it be possible to have two different day parts within one bookable service? 

On our website, each day part leads to the specific bookable service in Mews, but I would love to simplify this. I believe I could combine the two daytime rental periods into one service, at a minimum. Click the link to see the current set-up.

Looking for insight/guidance from a Mews expert and/or other property that may already be doing this.

Hi David,

 

You could also achieve this with one bookable service using a thorough set of restrictions potentially for an hourly service that essentially is rated at a certain amount per hour that equals the total cost, and this can be managed in rates:

Essentially you restrict the available arrival times, minimum number of hours and departure times to different hours on different dates all under one bookable service. See here under step 2 ‘Configure’ How to create an hourly service booking engine in Mews Operations by closing certain hours to arrival and certain other hours to departure; you can also combine rate restrictions for different periods of time - so you'd say on a Monday you can only Arrive at 11am and depart at 6pm, but on a Friday - Sunday its only 11am for 5 hours or 4pm for 5 hours.

 

The only aspect here is that you cannot set half hourly times, only hourly, I believe.

Yes, you could combine the two daily services into one, while it comes with a few questions to think about:

  • Differentiation of the day vs the evening package would be on rate level.
  • Default Check-In and Check-Out time are set on a service level, so you would need to update them after each booking (or externally automate this)
  • Occupancy percentage will be calculated based on the time period you set on service level and might be off with your calculations
  • Sellable products could not be differentiated between the day and the evening package

Not sure if those points would have an impact. I would recommend to try the setup first in Demo to see the effects before implementing in Production.

If you need help with the setup, custom automations around or the migration of the reservations let me know.

Thank you, ​@MattJones. My mind was, fortunately, on this path, so your reply is reassuring. I had not progressed far enough to determine how best to leverage restrictions to their full extent.

I have to now wrap my head around the fencing needed to bring this to life. I’ll have to address the half hour limitation in user-facing copy in the booking engine.

Time to create a new bookable service to build this out before making changes to our Guest-facing channels! 😁

UPDATE: I began building the one bookable service and made it as far as successfully fencing the Weekend PM VIP Cabana space category, with the rate displaying throughout being 100% correct.

However, when trying to add restrictions to fence the Weekend AM space category, which should have offered me the option to choose a start time of 11:00 AM or 5:00 PM, I couldn’t get the booking engine to display the 11:00 AM start time. Only 5:00 PM start time was offered despite selecting a Friday date.

I could not get Weekday rental periods to even show on the calendar until I removed the restrictions I added around the Weekday space category. Although this reveal all dates on the calendar, which would have been fine, the only start time offered was 5:00 PM. 

Where I am in this right now: I opened a help ticket with Mews, sharing my objective, the challenges I’m trying overcome, and the limited progress I’ve made so far (see farther below if interested). Meanwhile, I spent time streamlining our website, creating only one promotional message block about renting a cabana instead of one for each rental period, and then used a row of three buttons for the Guest to choose one of the three rental periods. This can be seen at MariJeanHotel.com/poolside-cabanas. 

I’m halfway there, having streamlined the Guest-facing experience on our website! If I can succeed at fencing the other two space categories correctly, then I can eliminate the row of buttons, replacing them with one single button leading to the one single bookable service, streamlining the backend experience for our Staff members (and me).
