We are currently looking into giving our cancellation policies an upgrade, meaning: Being able to set cancellation policies on rate groups and rates in order to gain highest return on cancellations possible. Meaning, on high-pickup dates, a higher cancellation policy is to be charged to the guest. 

What we are thinking of is to add the flexibility to specify cancelation policies on both rate group and rate level. Additionally, to give the ability to specify cancellation policy on specific time periods.

thank you for enabling the functionality 🙂 I already did some testing in my Demo.

I created new policies and rategroups + rates, as well as policy exceptions (01.-04.aug24)

the functionality for me as Revenue manager/admin is clear and easy to use, thank you for the great time and effort by you and your team!

 

However when creating the test bookings, a few point popped to my mind that could be quit challenging for reservation/reception staffmembers.

lets assume the staffmembers have knowledge of the default cancellation and payment policies of the rategroups.

the policies (nor default nor exceptions) are visible to the agents in the “new reservation” screen or in the booking directly.

best case scenario, the Policy name is shown in the reservation details “Status” screen, similar to  ex. “origin”  and “reservation source”

→ especially  during “policy exception” periods, as the exception only applies to new bookings. multiple bookings in the same rategroup for the same stayperiod can have different policies

as well in the “new reservation” screen. ex either with the rategroup name or price detail pop up

so Teammember can inform guests correctly and detailed.

 

 

From a guest POV in the current mews booking engine the free cancellation deadline is shown as in the printscreen. showing the default rategroup policy. I assume that in an exception period the exception cancellation deadline is shown. 

also here best case scenario, the guest is able to see, next to the applicable cancellation policy also the applicable payment policy.

(PS, also in the guest portal)

Additionally I would like to see a new “placeholder” {Policies} or an adaption of the placeholder {reservationDetailsHtml} for quotation and confirmation templates, so the guest can easily check the offered/booked reservation policies/conditions themselves in the email template.

Although im still a fan of the granular cancellation feature, for now I will refrain from testing in the production environment. for the simple reason that I have no Idea how to communicate the exception rules to the (potential) guests using “direct” channels such als the mews booking engine and or our central reservation office. As the exceptions will not be visible for guests and or staff, I will stick with the workaround of using separate rates/rategroups for those exception periods.(for now)

I wanted to take a moment to let you know that we’ll begin rolling out this functionality next week in phases, region by region, over the coming month.

The first release will happen next week in the Benelux region, followed by DACH the week after, then France, and finally a global rollout in the following week. This will also be when the Mews Multi Property piece beta will kick-off.

This also sounds like a usefull further development to us. As a trade fair hotel, we offer different cancellation periods for different trade fairs and group sizes.
In my opinion, a cancellation policy at reservation level makes the most sense.
I would be happy to discuss this if there is still a need.


@Nienke Wilbrink I found a permisions bug: All policy settings are still available when a user doesn't have any roles assigned.

They shouldn't be able to access the property where they have no permissions at all, but if they have a profile in another property for example with some permissions, they should be able to log in.
