Is there a way to check if guests with upcoming reservations have completed their online check-in directly within Mews, without having to export the reservation report to an Excel file? Ideally, I’d like to see this information in the system to streamline the arrival process. Any insights or best practices would be greatly appreciated!
In general , if someone has checked in online, it will appear as Green+ check in online on your dashboard under the remaining/completed arrivals, for arrival today.
Satus of future reservations will also be shown as checked in online and green when going to the reservation.
Good day
Kindly see screen captures below.

Online check-in will show up in Green the same way it does for the Online Check-out.
I hope it helps you
Hey
We’ve trained our teams to handle these check ins differently (i.e don’t request a new CC, acknowledge you see their online check in).
I think I would love to see MEWS revise the overall check in approach to reduce number of clicks.
- I think it’s pretty manual right now if you want to 1) Update the email address, 2) Take an additional pre-auth amount to hold for incidentals, 3) Actually check the guest in.
- I’ve counted over 10 clicks to get this done and while better than other systems, I think we can make it even better.
- In a future state I would love to click 1 button “Start Check In” and I get a customizable pop-up for my team to do the check in steps in 1 screen.
- I see this screen as validating stay dates, entering a new email if needed, taking the pre auth in that screen, reviewing guest notes, and then the team clicks “Save and Check In.”
- Basically using all the info that exists now in different views in 1 screen to reduce navigation around the profile and ensure all content is captured for every reservation, reducing the risk of human error.

Great!!
Thank you
alessandrobottero - I agree with you 100%. We have paired a third-party service, AKIA, through an integration with Mews to achieve almost all of what you’ve outlined and now my Staff begin with a screen on a tablet where they can either enter the Guest’s confirmation number or send the check-in mini app to the tablet. The Guest and Staff member do this together or multiple Guests can check-in simultaneously while our Front Desk Staff member (yes, we typically have only one - we’re a very small property) is helping another Guest. If AKIA was bought and absorbed by Mews, it would truly be the best of both worlds!
Great to know re Akia
Here are a few links to the mini apps I’ve created for our property. These are all samples and if you had reservation data in our instance of AKIA, they would be personalized with this information.
Guest Registration Portal lGRP]: https://sys.akia.ai/qr/109c027b-997e-4d64-975b-3ab795ac857d This is sent immediately upon confirmation when AKIA receives the upload from Mews of the new booking. Through this mini app, Guests can request a parking permit in advance nhttps://sys.akia.ai/qr/043e499c-7fd7-483a-af7d-6baa4a168b5e] as well as obtain information about entering the hotel for the first time ihttps://sys.akia.ai/qr/feba5360-1282-4fa3-8bd4-b2091db39b62]… both of which are made available on the “Thank You” screen the Guest sees after submitting the check-in information.
An Additional Guest Registration Portal aAGRP] is auto-deployed if the primary Guest who submits information to complete check-in through the mini app includes secondary/tertiary Guest information. The AGRP is an abridged version and does not ask for a credit card.
Your Guide to Fun! https://sys.akia.ai/qr/89a98ce6-060e-4bfe-82fd-dda8fbdb635a This link is included when we send out the GRP in the initial outreach.
On Monday, I spent a few hours building a new guide that’s specific to events going on this week during Winter Pride here in St. Petersburg. It’s the inaugural year for this weeklong event and details were still being finalized as I was writing the content for the guide… it was then deployed through a broadcast to Guests arriving on each day of the week up through this coming Sunday: https://sys.akia.ai/qr/31c5418a-0bce-4186-8059-9bb6e5d1bccf
AKIA reporting is not nearly as robust as I would like so beyond the number of Guests who send us their check-in information through the mini apps and those who request a parking permit through the mini app. What Guests are reading within the mini apps, where Guests are abandoning online check-in or a parking permit request, and other truly valuable metrics aren’t available yet - but AKIA said this is coming. Fingers crossed!
