Beta program: More customisation of data collected during Online and Kiosk check ins
We’re excited to start a pilot of an enhanced check in form that gives you greater control over the data you collect from guests during online and kiosk check in, as well as which guests you ask to provide data.
We’ve heard your feedback regarding guest data collection and the need for greater control to better suite the needs of your businesses.
You might need to capture the names of all guests on a reservation from a safety perspective
You might need to collect different data from the reservation owner compared to other guests in your location
You might need contact details from all guests to share access instructions with the entire group
Now, the new check in form gives you much greater control to address all these scenarios and more:
New fields give you greater control over guest data; names, email & signature are now configurable in the check in form
Configure different requirements for different guests, whether they’re the reservation owner, another adult or a child staying at your property
Choose to stop or start collecting data from other adults or child guests based on what’s needed for your property
How does it work?
Once enabled, you will see three columns in the Check in form section of your property settings. Each column lets you independently control what data is collected from the Reservation owner, Other adults or Children. The options for these columns will match your current configuration, so no changes to the data you collect will happen until you make adjustments to the form.
Alternatively, continue using the ‘Default’ option for the fields where you want to follow the Mews configured default for your location.
You can choose to start or stop collecting data from Other adults or Children by using the checkboxes above the columns.
What will the guest see?
Once you’ve made changes and click “Save”, your online and kiosk check in will follow the new settings you’ve configured and show the different guest types as needed.
Important consideration
It's important that you consider and follow your local data collection regulations when making changes to the check in form. Each location our customers operate in is different so you should be sure any changes you make to the check in form comply with your local laws.
How can you get started?
The Check in form is available to customers on Pro and Enterprise subscriptions of Mews. If you’d like to try out this new version then please follow the below steps:
Reply in this thread with the property you’d like to activate
Once done, you’ll need to go to Settings > Property > Guest experience > Check in form and adjust the settings you want to change

The kiosk is only for physical room keys. However, some hotels use access codes. Would it be possible to add a section in the reservation where we could enter the code (or connect it with our lock provider)? When will Mews Kiosk be able to display the guest's access code?

Thank you for the question. I know we discussed this privately as well, but this is not currently in the plan for the Mews Kiosk at this time.
There are ways in the Kiosk with configurable copy or an image on the final check in screen where you can direct guests to check their email or phone for a message containing the PIN code sent via a 3rd party.

@James.taylor Alright, I'm honestly a bit shocked right now. I just switched from RoomRaccoon to MEWS – specifically because RoomRaccoon had issues with the online check-in process, especially when it came to checking in children.
That's not a problem for us – we already have a really good check-in system: simple, intuitive, all that.
But now you're telling me MEWS isn’t able to check in more than one person online per booking? Please tell me that’s not true. I just switched to a PMS that can’t handle checking in all the guests in a multi-bed room?
We have a lot of rooms for 5 to 8 people – families with kids. Is this a joke? Are we really supposed to go back to pen and paper? Do you have any idea how long it takes to check in 60 guests per day during high season – and then manually transfer all their data into the system to send it to Feratel?
What about late check-ins when there’s no staff on-site? How are we supposed to handle that?
Even RoomRaccoon could check in as many guests as were booked. I’m honestly really frustrated right now.
And on top of that, I’m now paying extra for FRIVA to transmit guest data to Feratel? What? That used to be included for free.
Please tell me this is some kind of misunderstanding.

Currently, there are some limitations with which guests are asked to provide data. However, this is exactly why we have developed this extended check in form configuration, to give you much greater control over what data is requested from guests during online and kiosk check ins.

And for the development of the query, it would be nice if the address data for the fellow travellers were taken over from the main traveller. Perhaps with the option to change them, but the form fields could already be filled in. Otherwise I can see trouble ahead for parents with 3 children.

If the credit card collection, you are able to remove this requirement in your Rate Group settings. However, if this has unexpectedly changed as part of enabling this capability then please let me know.
If the copy address functionality, I appreciate this feedback and we do plan to add this capability in future, as already exists in the Mews Kiosk. In the meantime, the values can be populated from saved address details in the guest’s browser which get’s prompted when selecting the fields.
We appreciate the copy function will help to make this experience even better though.

Seems like the whole checkin form behaviour is messed up right now … Hopefully the new system is available soon and the whole oci topic gets sorted for good.
We are experiencing the same issue, especially when it comes to the ID details for main and fellow guests, as well as the ID scan.
Hi @adriahan, @jones.eth we believe the issues reported around data collection from guests are now resolved, but please let us know if you are experiencing any problems still.
@jones.eth, I know you shared some examples of duplicate registration cards (Online and Kiosk check in) that I’m continuing to investigate.

my agreement was just about the copy adress comment. To be honest i do not really get the your description of how to work around this feature with your describeb prompter work flow. Do you maybe have an more detailed description for that? Niclas

Checkin form preview From the settings page it would be cool to access a example page to view different scenarios and how your settings behave … online-checkin / kiosk / single person / companions / children …
The checkin form is just a bit hard to access for us and our team and this would be great to check how it behaves. Right now when a guest ask something about the checkin our team can’t really help because they don’t know really how it looks/works and it had quite a few changes in the last months.
Field display mode setting If i’m not totally wrong, right now mews hides fields if its a existing guest profile with the fields already filled. It would be great to change that behaviour in the settings page like: default, mandatory (always visible), optional (always visible), mandatory (only when empty), optional (only when empty), hidden
Online-checkin state Im not totally sure about that, but it seems like the checkin-state in the reservation overview not really captures the state of the reservations. Maybe you should have a look into that.

@James.taylor Looks great, but as i see now the BETA is only for Pro? what about the customers like me using only Standard Version, can you decide which information you need from the guest? Why is it necessary to make the Check In Data collection super Special only for PRO or Enterprise guests and in the standard version only the main guest is asked for data? it should be also available for Standard Customers, since it is a necessary Tool that every Hotel needs.!? I would really appreciate if you would fix that bug, so i can check in all of my customers and not just one, also i dont understand why the Check in doesnt ask for the Birthday and Adress, i just made a Testbooking, which is not working!? i already asked twice to join the beta programm and opened a support ticket, but there is still no help regarding the check in problem!? Please Help. Thanks

we are experiencing issues with obligatory signatures, copying the address from main guest and also scanning documents before and during the check in. Do you know about any technical issues or anyone else experiencing the same issue?

We have similar issues too. Also it seems that for reservations with more than one companion in the kiosk always the first companion is shown multiple times,

I understand you have a call with your customer success representative today where I believe she will share a potential solution to help with collecting data from additional guests.
I appreciate your feedback about the availability of this capability in the different pricing packages, I’m sharing this internally as we continually review the packaging of capabilities in Mews.
As for the comment about address and birth date, the configured defaults only require these details from non-German guests in your location. If this is incorrect, then please also share this during your call with your customer success rep and this can be reviewed.

Thank you for sharing this @mauritsbots, this is indeed a bug as this field should show ‘Required’ to match the ID type selected above.
We’re working to resolve this, but we’ve seen that this will update correctly by adjusting the ID type visibility and setting it back to your required value while the ‘Other adults’ checkbox is selected.

Hi @Niclas, thank you for clarifying.
To add a little more detail, a user on a mobile device can have personal details like address, card numbers and email saved on their device. When they are asked for these details online, for example in online check in, their device will suggest these saved details to automatically populate these fields. If the user taps the suggestion, it will complete all the relevant fields.
We still intend to add a copy address capability to online check in in future, but I hope this shows there is an efficient method of adding this data available to guests that we already support.

Thank you for sharing this suggestion, we will review this internally. I know this is not an ideal solution, but you can create a test reservation and complete online check in to see the experience. Additionally, we have a help guide and Mews University course for the Guest Portal available to help you and your teams familiarise yourselves with the experience guests see.

Online-checkin state Im not totally sure about that, but it seems like the checkin-state in the reservation overview not really captures the state of the reservations. Maybe you should have a look into that.
Can you please share an example of this so I can better understand? The ‘online checked in’ state only appears on the day of arrival if all guests have completed the required data. If this is not the case after you’ve adjusted the check in form, then please let me know and we’ll investigate further.

For the signatures, was this on the Kiosk? If yes, I believe my message above to update to v4.23.0 of Kiosk will help resolve this. Please let me know if there is a separate issue though.
Copying address in online check in is a future enhancement we want to add, but users can automatically complete the address field from an address saved on their device / browser with a single tap.
Regarding scanning documents, can you please elaborate a little further on this issue? This should not have been affected if you’re still collecting identity document data.
