Beta program: More customisation of data collected during Online and Kiosk check ins
We’re excited to start a pilot of an enhanced check in form that gives you greater control over the data you collect from guests during online and kiosk check in, as well as which guests you ask to provide data.
We’ve heard your feedback regarding guest data collection and the need for greater control to better suite the needs of your businesses.
You might need to capture the names of all guests on a reservation from a safety perspective
You might need to collect different data from the reservation owner compared to other guests in your location
You might need contact details from all guests to share access instructions with the entire group
Now, the new check in form gives you much greater control to address all these scenarios and more:
New fields give you greater control over guest data; names, email & signature are now configurable in the check in form
Configure different requirements for different guests, whether they’re the reservation owner, another adult or a child staying at your property
Choose to stop or start collecting data from other adults or child guests based on what’s needed for your property
How does it work?
Once enabled, you will see three columns in the Check in form section of your property settings. Each column lets you independently control what data is collected from the Reservation owner, Other adults or Children. The options for these columns will match your current configuration, so no changes to the data you collect will happen until you make adjustments to the form.
Alternatively, continue using the ‘Default’ option for the fields where you want to follow the Mews configured default for your location.
You can choose to start or stop collecting data from Other adults or Children by using the checkboxes above the columns.
What will the guest see?
Once you’ve made changes and click “Save”, your online and kiosk check in will follow the new settings you’ve configured and show the different guest types as needed.
Important consideration
It's important that you consider and follow your local data collection regulations when making changes to the check in form. Each location our customers operate in is different so you should be sure any changes you make to the check in form comply with your local laws.
How can you get started?
The Check in form is available to customers on Pro and Enterprise subscriptions of Mews. If you’d like to try out this new version then please follow the below steps:
Reply in this thread with the property you’d like to activate
Once done, you’ll need to go to Settings > Property > Guest experience > Check in form and adjust the settings you want to change
If you're using Kiosk, please ensure your app is updated to v4.21.0 to support the new capability

The guests are being asked for credit card details again during online check-in. That used to be switched off, didn't it?
Can you please check this?
And for the development of the query, it would be nice if the address data for the fellow travellers were taken over from the main traveller. Perhaps with the option to change them, but the form fields could already be filled in. Otherwise I can see trouble ahead for parents with 3 children.

@James.taylor it seems that since a few days the production OCI has a changed behaviour regarding what and how data are collected … at least our front office team is reporting disruptive behaviours in OCI right now. That may be related to these upcoming changes. Are there any adjustments to these areas in preparation?
We would like to start in Beta seen to ensure smooth operation at checkin!

Thank you for the strong interest in this capability and for your patience since asking to have it activated. However, I’m afraid we are temporarily pausing the activation and have disabled the capability for those who had it activated due to an identified bug where a default field was not respected during online check in.
I’ll keep this group informed as our teams work to address the issue and will let you know as soon as we can start enabling this again.

Hi @Leif Penning, thank you for sharing this feedback.
Do you mean that the rate groups that previously had this disabled now have the collection of the credit card enabled again? All customers now have the capability to disable the collection of the credit card by rate group, but this needs to be adjusted by you for the rate groups you no longer want to collect a card for.

This capability should not have changed anything with the existing OCI, even when it is enabled. It would only change how OCI behaves once you edit the check in form and save the changes.

@James.taylor actually i can't say for sure. It seems that the kiosk's behavior regarding how data is pre-filled or transferred has changed. We've received feedback from guests that they've already filled out certain parts, and from reception that the data was transferred into the system incompletely. It's pretty vague, though... I'll consult with our front office team again to narrow down the problem.
Update: For companions without existing profile only the last name is requested. For companions that already have a profile all data is requested even though all of that is already in the system. Also guests regularly complain that they have finished the online-checkin but in the system it doesn’t show up as completed (maybe thats a problem with the payment cards still). Thats something i noticed too because i would have guessed that the percentage of completed ocis would go up with payment card details disabled …
I'd say we start the beta and give our feedback for that. We can't really work with the current logic anyway ;)

@James.taylor if i am not mistaken there is a option for better OCI data handling in place in germany. Maybe this solution is no longer active or some of the upcoming changes have broken that behaviour in production:
Anyways it seems that we don’t get the required data via OCI anymore. So we have to fallback to pen and paper (again) because the of that … Hopefully the whole Mews OCI situation is solved pretty soon .
@James.taylor Alright, I'm honestly a bit shocked right now. I just switched from RoomRaccoon to MEWS – specifically because RoomRaccoon had issues with the online check-in process, especially when it came to checking in children.
That's not a problem for us – we already have a really good check-in system: simple, intuitive, all that.
But now you're telling me MEWS isn’t able to check in more than one person online per booking? Please tell me that’s not true. I just switched to a PMS that can’t handle checking in all the guests in a multi-bed room?
We have a lot of rooms for 5 to 8 people – families with kids. Is this a joke? Are we really supposed to go back to pen and paper? Do you have any idea how long it takes to check in 60 guests per day during high season – and then manually transfer all their data into the system to send it to Feratel?
What about late check-ins when there’s no staff on-site? How are we supposed to handle that?
Even RoomRaccoon could check in as many guests as were booked. I’m honestly really frustrated right now.
And on top of that, I’m now paying extra for FRIVA to transmit guest data to Feratel? What? That used to be included for free.
Please tell me this is some kind of misunderstanding.

Seems like the whole checkin form behaviour is messed up right now … Hopefully the new system is available soon and the whole oci topic gets sorted for good.

We are experiencing the same issue, especially when it comes to the ID details for main and fellow guests, as well as the ID scan.
@James.taylor is my ongoing ticket 00425360 connected to this somehow? Not sure if it helps you in your quest to fix this.

Thank you for your patience while we addressed the issue identified. The team have now resolved this and the default values will correctly be respected.
As a result, I’m happy to share that we’re re-enabling this capability. I will work through the list of requests and the questions that are in the conversation thread, please bear with me while I work through them.
I see a couple of comments about issues with Kiosk as well. There is a new Kiosk app release available (v4.23.0), please do update to this version if you’re experiencing issues.
