Group Booking- proforma invoice

The process to handle proforma invoices for group bookings without a room list is as follows:

1. Download a blank rooming list template from any group reservation.

2. Send the template to the group reservation contact to fill in the necessary details.

3. Import the completed template back into Mews Operations.

Thank you for your response! 😊 I am responsible for booking and managing the room list, as well as sending invoices to the groups.

I can only download the room list from a group booking where I have room pick-up. Without room pick-up, I'm unable to access the room list.

Just to clarify, following your instructions: I could download the room list from any group and, I can add name(ex Booker or group name) and import them into the group reservation in order to generate the proforma invoice. Is that correct?

Usually, I provide the proforma invoice when they sign the contract to give them an initial preview.

Could you please confirm if I understand correctly that you are asking about a way to obtain a rooming list or proforma invoice for the availability block? If not - could you let me know what you mean by "reservation without a room pickup"?

To clarify, you can only issue a proforma invoice and download the rooming list for reservations that have already been picked up from the block. Please let me know if I have misunderstood your request.

Regarding your second point, you can issue a proforma invoice for any reservation, whether it's a group booking or not, but not for the availability block if no reservations have been picked up yet. The room allocation will be reflected on the proforma invoice. If the rooms haven’t been assigned yet (i.e., the reservation has been picked up, but rooms haven't been assigned), the invoice will list the room types, but no room numbers will be included.

sorry for the misunderstanding,

So I cannot download an “empty rooming list” and I cannot issue the proforma invoice”  if the rooms are not picked up from the block.

But you answered my question regarding the proforma invoices: but not for the availability block if no reservations have been picked up yet.

I thought there was a way to send a proforma invoice even though the rooms are not picked up from block:)
