Search unpaid invoices by Travel agency confirmation number

Intro
We operate 23 residences. Some OTAs pay us daily, and each payout covers one or more reservations. For each reservation, OTA’s payout statement lists the confirmation code (e.g. HMXXXXXXXX), the guest name, and the amount in EUR. In Mews, the matching invoices sit on the OTA company profile under Unpaid invoices. In our case they are issued in CZK.

How we allocate payments today
For each payout, we go through the statement reservation by reservation. We select the matching invoices in the Unpaid invoices window and then process the payment. The search bar in that window finds invoices only by guest name or invoice number. OTA do not know our Mews invoice numbers, so the guest name is our only link between the statement and Mews in billing page without going to detail of reservation.

Why that’s a problem

  • The name on the statement may differ from the associated profile in Mews. Causes include booker vs. guest, a profile edited at check-in, typos, diacritics, and names in non-Latin script that Mews holds transliterated.
  • Several reservations can have the same or similar names.
  • Amounts can’t easily confirm a match, because the statement is in EUR and the invoices are in CZK.

As a result, every payout needs manual cross-checking. A wrong pick leaves one invoice wrongly paid and another wrongly overdue until someone notices.

What’s already in Mews
The channel manager writes the confirmation code into the reservation automatically, as the Travel agency confirmation number / Channel number. No extra data entry is needed. This reference just can’t be searched in the window where we allocate payments.

Request

  1. Let the search bar in Unpaid invoices (on the company profile) and in the City ledger also match the Travel agency confirmation number of the reservation linked to each invoice.
  2. Show the confirmation number as a column in both views.
  3. Nice to have: let us paste several codes at once and have Mews select all matching invoices, flagging any code with no match.
  4. Longer term: an option to import an OTA payout statement (e.g. CSV) and have Mews match its lines to invoices automatically would remove the manual step entirely.

If one code matches more than one invoice, for example split bills or an invoice re-issued after a credit note, list all of them and let the user choose.

It applies to any OTA or travel agency that pays in bulk against its own reservation references.

A similar request was raised in the City ledger feedback thread in March 2025:
