Reservierung vor dem Check In splitten?

Hallo an alle,

Hi Sonja,

Thanks for posting this. Splitting before check-in isn’t possible at the moment. The split action only works on reservations that have already been checked in, and the help article covers this: Split a reservation. Splitting before arrival would trigger a second set of confirmation emails and Guest Journey notifications, which is why it’s restricted.

The idea has been logged with our product team, but it sits in the backlog and isn’t currently planned, so I can’t give you a timeline.

Keeping the confirmed prices

A split never re-prices anything. Both halves keep the nights at the price they were confirmed at, even if the rate has changed since. “Shorten and create new” can’t do this, because a newly created reservation is always priced at the current rate. So the best option is to split on the handover day:

  1. Leave the reservation as it is until the day of the guest change. Add an internal note so reception knows what is coming.
  2. Check in the first guest as usual.
  3. On the handover day, use Split and pick that date. Mews shortens the original reservation to that day and creates a new one for the remaining nights, in the same group, with the same rate, products and night prices. There is no re-pricing and no cancellation fee.
  4. Change the guest on the new reservation and check them in.

The trade-off is that until the split, the system shows one reservation with one guest, and the second guest doesn’t receive their own confirmation email. If the room stays the same, that is usually manageable.

If you need two reservations before arrival

Shortening and creating a new reservation is the only way. The shortened reservation keeps its prices if you untick “Apply cancellation fee”. The new one needs correcting with “Edit rate price per night”. For trade fair periods, a dedicated rate with fixed prices, or an availability block with a locked rate, removes most of the manual work and the risk of pricing errors.

Rate Mixing lets one reservation carry different rates for different date ranges, but it doesn’t support different guests, so it won’t cover this case.

To help us advise more precisely, could you tell us:

  • Does the room stay the same across the guest change?
  • Is the second guest known at confirmation, or only shortly before arrival?
  • Does the second guest need their own confirmation email before arriving?

I hope this helps.

Sarah

Hi Sarah,

Thank you for taking the time to reply! I’m familiar with these scenarios, which is exactly why I was wondering whether there might be another good workaround that I had simply overlooked.

In the cases I had in mind, the room does not necessarily have to remain the same throughout the stay. Quite often, bookers initially reserve a room for, say, ten nights and only finalise their actual schedule afterwards.

For example, they might initially book from the 1st to the 11th and later tell us that they only need the room from the 1st to the 3rd and then again from the 5th to the 11th, sometimes with a different guest for the second part.

In that case, we have no choice but to shorten the original reservation and create a new one for the second part. If the rates have changed in the meantime – which is particularly common during trade fair periods – we then have to manually adjust the new reservation back to the prices that were originally confirmed.

We know how to do this, of course; it would just be great if there were a way to avoid the additional manual work and the potential for errors that comes with it.

Splitting the reservation after check-in is certainly easier when there is a straightforward guest change during a continuous stay. However, bookers often send us these changes well in advance and want confirmation that their updated arrangements have been registered accordingly. It’s usually not so much about the individual guests needing separate confirmation emails, but rather about the booker needing the amended reservation details confirmed before arrival.

So it sounds like “shorten and create new” really is the only option for these cases at the moment – I just wanted to make sure I wasn’t missing a more practical solution.

Thanks again!
