Help shape what we build next in Mews Automations

We are planning the next wave of components for Mews Automations, and we want the build order shaped by the people who run properties every day.

We have put together a short exercise. Here is how it works:

  • You will see the components we are planning to build
  • You sort each one by how valuable it would be at your property
  • It takes about ten minutes, and there are no right answers

Your input feeds straight into our next planning cycle.

Take the exercise here: https://app.useberry.com/t/c906ssf9zexlCj/

And if there is something you wish Automations could do that is not on the list, tell us in the replies. That is exactly the kind of input we are looking for.

Phase 1 — Live now (Beta)

Thanks for sharing this overview! Are the planned components focused purely on rule-based automations, or is there also scope for AI-powered capabilities to be included — for example for intelligent decision-making, prioritization, message generation, or in combination with existing automation workflows?

The short answer is both. The combination of Automations and Mews Communications is where it gets powerful, and it runs in both directions.

The foundation is rule-based and deterministic: triggers and actions on a canvas, where a flow behaves the same way every run and can be audited. Operations teams need that predictability.

What makes it more than rules is the two products working as one loop:

  1. Mews Automations is the orchestration layer. It decides when something should happen and under what conditions: arrival date, loyalty tier, occupancy, rate code.
  2. Mews Communications is the intent, personalisation and delivery layer. This is where the AI sits. It generates outbound messages from live guest and reservation data, and it also reads inbound guest messages, captures the intent, and starts an Automation off the back of it.

So the loop runs two ways:

  • Outbound: Automations detects the moment and applies the rules, Mews Communications personalises the message with AI and delivers it. Example: a high-tier loyalty guest arrives, Automations catches it and checks occupancy, Mews Communications generates a welcome referencing their stay history and sends it, and a staff task is created for the welcome gift.
  • Inbound: a guest messages the property, Mews Communications uses AI to capture what they actually want, and that intent starts an Automation. Example: a guest asks about a late checkout, Comms reads the intent, an Automation checks availability and occupancy, adds the product if it qualifies, and Comms confirms back to the guest.

Against your four examples:

  • Message generation: strongest fit. Automations triggers the moment, Mews Communications writes and delivers the message.
  • Combination with workflows: this is the core of it, and it is bidirectional. Comms can both deliver the result of a flow and be the thing that starts one.
  • Prioritisation: possible with AI, though a rules-based filter in Automations (tier, rate, occupancy) is often more predictable and cheaper. Choose per use case.
  • Intelligent decision-making: intent capture is a good example of AI doing the understanding, but I would keep the action gated. AI reads the intent, Automations decides whether to act, with a Condition holding the rule.

So it is more a deterministic core in Automations, with Mews Communications using AI to both capture intent and personalise the response, so the platform can listen, decide, personalise and deliver in one place.

Hope this helps

Hello, could Best Western Hotel Danderyd take part of this beta? Please share some documents on how to leverage and test the functions too. Thanks!

@carlos.collado What do we need to do to take part in the beta version?

Thanks, that’s really powerful — we’re definitely very interested. Please keep us updated here.

I have a current example from the past few days that we keep struggling with, and I’m sure many other hotels do as well. This should also be something that could be covered by this approach.

We have many guests in-house, guests arriving, and guests departing. For many of them, there are relevant details: special requests, complaints, praise, VIP status, or information from previous stays that we absolutely want to take into account for future visits.

Of course, one challenge is documenting this information properly in the reservation or guest profile. That is something we need to keep focusing on more and more and make part of our DNA in how we deal with guests. We are getting better at this.

What currently takes a lot of effort, though — and is sometimes forgotten, making the handover incomplete — is preparing and summarizing this information.

Smart Tasks and Smart Tips already do a lot in this area, but I believe a rule-based extraction of notes from guest profiles and reservations, combined with AI-based preparation of the information in one central place, would be extremely powerful. It could serve as a kind of daily briefing and shift handover for the relevant day.

@Marlon_Meiser @Kathi zur Info - und wäre cool, wenn ihr euch hier auch einbringt.

Hey Carlos,

the Survey is finished.

Some Usecases that come to my mind:

  • Check Reservations notes / guest comments and apply this to reservations
  • Automate Mews Chat Messages
  • Invite second person to Wallet Keys ( Sharing)
  • Automatically create tasks for certain reservation notes or rooms
  • Entire group reservations handling from contract to invoice (Offer, contract, deposit, Rooming list e.g.)

Please keep us in the loop. I am also in contact mit Madeleine about Automations

Best

Hello everyone,

I have completed the survey.

One of the first things that came to mind from my day-to-day work was the potential for automation in the area of restrictions. There are many tasks that could be generated automatically up to 90% in advance each year based on predefined rules, or at least prepared for review.

In day-to-day operations, rules could also be applied in several areas, for example to automatically open MinLOS restrictions when appropriate.

In addition, alerts for newly received same-day reservations (bookings arriving today for today) would be very helpful.

Another point is that some of the processes we currently manage through third-party systems such as Zapier could be handled directly within MEWS using the new functionalities. This would simplify the overall system landscape, reduce the risk of errors, and lower the maintenance effort involved.

As we have already discussed internally, the possibilities in this area seem almost limitless. We could simplify, redesign, and significantly streamline many of our existing processes.

Hey Carlos,

survey is done
Currently we´re doing a lot of automations with Zapier, almost 90k Zaps within 4 weeks for 25 hotels, f.e.:

  • create an inventory reservation for extra bed, baby bed or dog set + create a product which is the trigger to create a task in Flexkeeping.
  • create a task if special products are booked, like “halfboard” → to make a reservation in restaurant, like “garage” → to make a reservation in the parking area
  • change arrival or departure time if a early check in or late check out is booked, or change departure time for a special rate only on sundays (since its specified in the contract)
  • create a task if a special rate is booked, f.e.: For certain discounted rates, supporting documentation must be reviewed
  • post the external payment if someone pays with paypal on our own website
  • Add a classification to the profile if a special rate is booked, f.e.: Classification “staff” or “friends&family” if staff- or family-rate is booked
  • credit redeemed points from our loyalty program

We do have a lot more ideas like:

  • allocate a pet-friendly room if a dog set is booked
  • cancel payment schedule if reservation is done by an employee (without booking engine) or if the costs are covered by a company per invoice
  • merge groups f.e. if 5 rooms are booked with same confirmation number via an OTA
  • Post the deposit when a future payment is made manually
  • Read reservation notes and create either tasks or make a note in the profile or add a product to the reservation

So we are really interest in doing more automations with Mews directly. Please keep us updated

Sounds great! looking forward to our call on thursday!

Hey @carlos.collado survey is done, could we participate in the beta program? Best, Fabian from Clostermanns Hof

Cant wait for this feature! Here are some use cases we have:

  1. A customer purchases a late check out product, the departure time on the reservation must be updated.
  2. A customer purchases a bottom bunk product, the space number assigned must be amended to be a bed on the bottom (Hostel)
  3. Guests in hostel book 2 beds, allocate them in the same room. (hostel)
  4. If keywords are entered in reservation notes for example, high floor, quiet room etc. Then the room assigned should be amended to match this or if automation cannot cover this, atleast create a task for the team to action.
  5. Create a scheduled payment for manual reservations (currently schedules are only automatic, not manual).
  6. Create the deposit when payment requests have been fulfilled.
  7. Update assignees on tasks (payment tasks are currently unassigned)
  8. Track inventory of products so they cannot be oversold.
