This feature is now released and available to all properties. Thank you to everyone for your feedback and participation in the Beta.
The release note is here: How to close and send bills in a single step in Mews
Hi, my name is Laura and I am Product Manager in the billing team, I am excited to share with you details of our new Beta programme.
We’ve rebuilt the bill closing flow in the modern Mews interface and added a new close and send option – so you can close a bill and email it to the guest in one action.
This beta is for:
Properties with users who close bills manually
What it does
Modernised closing screen – the review before closing screen now loads in the modern Mews interface, matching the bill detail page look and feel, and loads more quickly than before
Close and send in one step – when closing a bill, you can now send a copy to the bill owner in the same action, with the email address pre-populated from their profile
Company send preferences – give you finer control over which companies receive bills automatically
More detailed information, including a loom overview is available in the Beta Documentation.
What we’re asking
Does the overall flow feel intuitive – is the closing experience clear and easy to follow?
When a guest has an email address on file, the send option defaults to checked. Does that default feel right for your property, or do you find yourself turning it off more often than not?
For companies where you don’t want bills sent automatically, are the company-level send preferences easy enough to manage?
How to join
Comment on this thread to join the Beta, and include the name of the property you’d like the feature enabled in. We’ll review requests and follow up with selected properties to confirm next steps and enable access.
@laura.asplin can you please activate if for Glamp Nusa Bali,
I have a couple of questions:
If the invoice email fails to send, will the bill still close successfully? Is there a notification or retry option if the email doesn’t go through?
If the guest wants the invoice sent to a different email address than the one saved on their profile, can we change the email directly before sending the invoice, or do we need to update the guest profile first?
does oit make sense to be part of the Beta as we do already use the automatic sending of bills when closing the bill? Taht was one of your last beta.
The output is the same if i understood correct
However i would like to particiapte to see also the new screen and UI. You can enable for Hey Lou Hotel Piding and then enable for all other properties after a quick test.

Yes, the sending of the bill is a secondary operation and does not effect the closing of the bill. No there is no notification if the email doesn’t go through in the same way there is no notification when you send the bill manually. To retry you would follow the current method of sending a bill.
If the guest wants the invoice sent to a different email address than the one saved on their profile, can we change the email directly before sending the invoice, or do we need to update the guest profile first?
Yes, you can change the email on the review before closing page if required. It will not update the email address on the account but will change where this specific bill is sent.
@Linus.Bihn there are subtle differences between the two features. The features we worked on previously relate to the automatic sending of bills at check out. This feature focuses on automatically sending the bill when it is manually closed, which can happen independently to check out. For example a bill might be closed after or before check out. The user can now choose to send it as part of that flow.
For you I don’t think it is that relevant as you are mainly automated and I don’t believe that you are closing many bills manually. But it would potentially help in those few scenarios where you team might manually close a bill. I will aim to enable in the next 10 minutes.

Hi Laura, could you please activate this feature for Meiser Design Hotel, Meiser SPA Resort, and Meiser Altstadt Hotel?
My first feedback after watching the video and reviewing the documentation: It would be great if this section displayed not only the invoice owner but also the linked profile. Ideally, there could be checkboxes to specify where the invoice should be assigned—for example, to the guest or to the company.

Thanks I have enabled the feature.
Thanks for the feedback. When you say where the invoice should be assigned? Do you mean where the invoice would be sent? Or do you mean who should own it?

I mean that we should be able to choose whether the invoice is sent to the invoice owner’s email address, the guest’s email address, or both. A CC option would also be a great addition.
Some more feedback:
The new toggle that delays sending the email until the end of the day should either be possible to hide or be disabled by default. In our case, the teams are expected to send invoices immediately. They now have to make sure the delay option is deselected every single time. This creates a significant risk of human error.
Additionally, it would be great to have another button that closes the invoice and immediately opens the print dialog. When a guest requests a printed invoice, this would eliminate another manual step. For this workflow, email sending could be disabled by default, while still providing an option to send the invoice by email in addition to printing it.
If I get any more feedback from our operational teams, I’ll reach out again.
