Hey Mews Community! 👋

I am excited to announce we are looking for properties to join our Beta programme for our new Automatic Sending of Bills feature. If you're tired of manually tracking down and emailing bills to guests after checkout, this one's for you!

The Problem We're Solving 

Many of you have already set up Billing Automation to close bills automatically at checkout — which is great! But there's one step that still requires manual effort: actually sending that bill to the guest.

Right now, if a guest needs a copy of their bill, someone on your team has to send it manually. With around 15,000–20,000 bills being sent in Mews every day, that's a lot of time that could be saved.

What the Feature Does

The Automatic Sending of Bills feature closes the loop on end-to-end billing automation. Here's how it works:

  • A new toggle in Accounting Configuration > Bill Management lets you enable automatic bill sending.
  • When enabled, any bill that Mews closes automatically at check out will also be emailed to the Bill Owner — no manual action needed.
  • When disabled, you'll still see a new "Email balanced bills" option in the checkout flow, giving your team the choice on a case-by-case basis.

The email uses your existing Bill Sent template, so no extra setup is required. Full details, including a screenshot and video can be seen here.

Who's This Beta For?

This feature is a great fit for properties that:

✅ Already use close balanced bill at checkout (automated or manual checkout)

✅ Want to reduce repetitive manual tasks at the front desk

✅ Have billing automation set up so bills are routed to the correct Bill Owner

What We're Looking For in Beta Testers

We'd love feedback on:

  • Whether the feature works as expected across different checkout scenarios
  • The guest experience of receiving automated bill emails
  • Any edge cases or unexpected behaviour you come across

How does it work with conferma connect reservations that have an individual email for each reservation to where the bill is suppose to be sent?

Hi Laura,

Have seen many comments about Expedia VCC, just to confirm if the bill is still sitting on the customer profile does the system recognise this is a VCC payment and does not send the bill? (Similar to payment receipts).

Understand that it is recommended to route everything to the Expedia company profile however a huge disadvantage is that company bills do not close automatically upon check out, so this causes more manual work anyway.

I had doubts about Expedia as well but we have it routed to Expedia owning the bill, it closes automatically and sends it to the e-mail-address we have linked with the Expedia profile (one of our internal e-mail addresses). Company bills also close automatically, just the ones you close manually are not sent automatically.

@Sam.C company bills are now automatically closed on check out. We released a change a month or two ago to resolve this you can see the full details here: https://help.mews.com/s/article/Closed-balanced-bill-logic-at-check-out-in-Mews-Operations-FAQs?language=en_US We purposely prioritised this before the automatic bill sending so that you can route the bills to the correct bill owners and then we can send the bills to the correct bills owners.

@anna.ahlen this isn’t a case the current solution caters for unfortunately but I will not as an idea for the future.

Hi everyone,

Thanks for all your support on the Beta. One of the common pieces of feedback from a lot of you is that you would like the ability to exclude specific companies from receiving the automatically closed bills by email. We originally suggested just excluded the email address from these profiles, however we understood that this is not ideal and have now developed an opt out feature that you can use to opt specific companies e.g. Expedia from receiving automatically closed bills by email.

This can be configured through the new ‘Billing preferences’ section in the Company profile. We will enable this for all Beta customers tomorrow. As always please pass on any feedback as we plan to roll the automatic bill sending to all customers the first week in June.
